Help the session run smoothly
Send the joining link, date, start and finish times, meeting purpose and any preparation materials in advance. Good lighting, a clear camera view and sensible turn-taking make communication easier for everyone.
Remote or on-site?
Some bookings work best online, while others are more suitable face to face. If you are unsure, tell us about the setting and we can discuss the practical options.

Check the video setup before the meeting
Use a screen large enough to see signing clearly and position the camera so the Deaf participant can be seen. Check the microphone, internet connection and lighting before the session. The meeting host should know how to keep the interpreter visible when someone shares a presentation or changes the active speaker.
Hosting an accessible online session
Introduce participants, explain the turn-taking arrangements and leave time for interpretation before taking the next question. Share documents and terminology in advance. For a longer session, discuss breaks and whether a team of interpreters is needed.
If the connection fails
Agree a way to contact the organiser if video or audio drops. Pause the conversation while access is restored rather than continuing without interpretation. If a reliable video connection is not practical, ask about an on-site booking. Let us know in advance about recordings, webinars or hybrid audiences, as these need separate planning.
